Making online bodywork bookings easier

Over the last two years our clients used our online bodywork booking system daily to claim their slots in our clinic’s appointment schedule. While our current online system added tremendous value to our little bodywork practice time has come to introduce something that’s even better.

Think of online payments, gift cards, discount and coupon codes, a proper wait list, and a fully automated appointment notification system. You asked if we could offer these things, and we will now be delivering..

Any of you who runs her or his own business will know that administration takes time. Often a lot of time, and in some cases more than it should. For a small practice like ours, balancing the financial books isn’t the most time consuming part. Managing our appointment schedules flawlessly is much more daunting and, yes, more time intensive than any other administrative task. I think that we’ve done well so far, with only four double-booking mistakes made over the last three years. That’s not a bad score, considering the number of appointments we delivered on during that time. However, it has taken us many hours of administrative time to avoid such mistakes. As Advaya continues to grow, more admin time will be required, which is time we no longer have.

A new online bodywork booking system coming!

Yes, we are about to launch a brand-new online booking system! Because seeing that new system first time may confuse you a little we thought it wise to just give you a simple heads-up now. The good news is that it will probably take you less than a minute to familiarise yourself with its workings. The even better news is that the new system will offer you loads of new booking options, some of which were suggested by our clients.

Take a look at the following new features we will now be offering –

  • All booking options logically listed – now also numbered to help you remember and decide which treatment(s) you want next.

  • Standard and extended sessions – all treatments will now be offered as Standard 60-minute or Extended 90-minute sessions. Select your preferred option with one single click.

  • Introducing Gift Cards – these will now be coming! You will now be able to buy and use these cards online. Not coincidental we are racing to get that functionality nailed down just before Christmas!

  • Introducing Coupon Codes – like Gift Cards, these will also be coming. Only we will be able to offer Coupon Codes as part of a Special Offer – or just when we are feeling generous. Special offers are coming!

  • Introducing Wait Lists – our ‘old’ booking system didn’t allow for wait lists, which complicated our lives a little here. With a fancy new wait list function included, those challenges now belong in the past. Even when we appear to be fully booked out you can still jump the queue when a slot reopens. Nice.

  • Your own private booking portal – cancelling and rescheduling bookings – which we all need to do sometimes – proved to be somewhat cumbersome with the old system. Lots of double-handling and re-entering of the same information. Your own booking page makes all of that redundant. Log in once, and make all changes while the system populates all your personal information automatically. We’re living in 2022 after all…

  • Automated invoices – you will no longer have to wait for your invoice. Once your bodywork session has finished, an invoice will be generated automatically and send to your email address. Quick, nice, and easy.

  • New Intake Assessments…via Zoom – I already wrote about this new service in my previous journal. Now it’s really here. The option for first-time and perhaps still uncertain clients to first meet with me via an online video meeting, for a very small fee. These clients will be able to pay that fee online and in advance of their session. We believe that this new service really is one of a kind and special to Advaya Healing.

  • Multiple bookings made easier – It will take only one log in to quickly claim multiple treatment sessions. Having to retype your personal details for each booking has now become unnecessary. Once the system knows who you are it automatically populates all personal information fields for each booking. All you need to do is to click through the options without any need to typing. That’s how we believe it should be done.

  • Simplifying cancelling and rescheduling existing bookings – the new booking system makes this easier than ever. You can now rearrange all your bookings in one go through your booking portal. Cancel, reschedule, and making new bookings can all be done on one web page, without having to navigate between emails and calendars. Undoubtedly, this will make life so much easier.

  • Online payments – although this will still be trialed over the coming weeks it will become possible to pay online and in advance of your treatments. We will still give you options to pay in cash at our practice or later by invoice. The option to pay online with a credit or debit card simply is an additional service.

  • More, more, more….. – these new features and services are merely to top of the crop. More will be introduced over time to make your life – and ours! – easier…

When will all this goodness arrive?

We will be switching our booking system over before Sunday, November 13th. That change will happen over a few hours, which means that our site may be offline or unresponsive at times. Everything should be fully functional again on the following Monday.

Another ‘how to’ guide will be published over the next few days to help you navigate your personalised booking portal.

What about your current bookings?

All the bookings you already made in the ‘old’ system will be transferred to the new system. You will not have to do anything at all.

What will change are the notifications and invoices you receive, which will be in a different format. These will still be send to you automatically, before and after each treatment. Your personal details, as they were stored in the old system, will also have been moved over.
